Walk event planners through the venue, live
Last updated:
For venue teams, event planners, and production partners
Bring a planner into the venue before coordinating a full site visit. A host shares a live panoramic view while remote guests look around independently and ask about room connections, arrival areas, and setup options. Use the conversation to narrow practical questions, then verify dimensions and production requirements through the appropriate checks.
30 trial participant-minutes. No credit card required to start.

One live environment. Independent views. Each participant chooses where to look, without changing anyone else’s view.
A beautiful venue gallery rarely answers the setup questions
Planners need to understand how registration connects to the main room, where suppliers arrive, and what lies beyond the stage-facing photograph. A flat walkthrough can leave production and hospitality teams competing for camera time. A shared panorama gives each person surrounding context while the venue host explains what can actually be arranged.
Discuss the guest journey
Walk from arrival to reception and the event room, pausing to explain the connections. Keep capacity and access requirements subject to separate verification.
Give production its own view
A production partner can look toward visible ceiling features while a planner checks adjacent areas, without changing each other’s viewing direction.
Include off-site decision makers
Invite clients and suppliers through a guest link in a supported browser without requiring a CallPano account or an app download.
Turn the visit into a focused brief
Collect questions for measured plans, equipment specifications, and a technical site visit in your existing planning documents.
Show the setting without promising a technical survey
Use a compatible Insta360 X4 or X5 setup that supplies full equirectangular camera output to the browser, not a cropped or reframed flat feed. Verify firmware, USB mode, computer, browser, audio, and connection quality before the visit. Arrange permission before showing an occupied venue, exclude private events and personal information, and test reception in each room. The live panorama does not verify rigging suitability, acoustics, electrical capacity, dimensions, or accessibility requirements. Confirm those through qualified people and current venue documentation. See the live virtual tour definition and camera setup guide.

Frequently asked questions
Can different suppliers choose separate viewing directions?
Yes. Each participant can pan and zoom independently within the same live panorama. They remain at the camera’s current position until the host moves it.
Can the tour confirm event capacity or access suitability?
No. Discuss visible layout in the call, then verify capacity, access requirements, and event-specific suitability through the venue’s current documents and appropriate assessments.
Does the panorama replace a production site survey?
No. Rigging, power, dimensions, loading arrangements, and other technical requirements need appropriate documentation and on-site checks. Video is useful context, not measured verification.
What should we prepare before showing an active venue?
Obtain permission, avoid exposing other events or guests, remove sensitive information from every viewing direction, and choose a route that does not disrupt operations.
Do planners need headsets?
No. Guests can use a normal screen in a supported browser. Optional WebXR headset viewing depends on device and browser support; CallPano provides no native Quest app.
